Visa Service Terms & Conditions

1. Visa Decision

Trippovention provides visa consultation and application assistance based on its experience and knowledge. However, we do not guarantee the approval or refusal of any visa application. The final decision rests solely with the respective Embassy, Consulate, Visa Application Centre, or Immigration Authority.

2. Document Submission

Clients are responsible for providing complete, accurate, and genuine documents. A signed document checklist or receipt will be issued upon submission of documents to our representative. Trippovention shall not be liable for delays, refusals, or losses arising from incomplete, inaccurate, forged, or fraudulent documentation provided by the client.

3. Visa Application Processing

A minimum of one (1) working day is required to prepare and submit a visa application after receiving all the required documents. Additional processing time may be required depending on the complexity of the application or if further documentation is requested by the Embassy.

4. Pick-up & Drop-off Services

Pick-up and drop-off services for physical documents and passports are available upon request. Charges are location-based, with a minimum charge of INR 200 per location.

5. Embassy Processing Timelines

Visa processing timelines are determined solely by the respective Embassy, Consulate, or Visa Application Centre. Timelines vary by destination and visa category. Trippovention has no control over visa processing times, interview schedules, administrative processing, appointment availability, or visa decisions. Processing timelines may be extended or shortened by the Embassy without prior notice.

6. Service Charges

Trippovention provides pre-visa and post-visa assistance as agreed with the client. Once an application has been accepted for processing, all service charges, convenience fees, courier charges, discounts, and pick-up/drop-off charges are strictly non-refundable.

7. Document Handling

All original documents submitted for visa processing will be forwarded to the respective Embassy or Visa Application Centre as required. Documents will be returned only if released by the Embassy or Visa Application Centre. Passports will be released to the client only after full payment of all outstanding dues has been received.

8. Refund Policy

Refund requests will be considered only when submitted with a valid reason and supporting documentation, wherever applicable.

• Approval of any refund request shall be at the sole discretion of Trippovention Management.
• Trippovention reserves the right to issue a Credit Note in place of a monetary refund. Such Credit Note may be redeemed against future services offered by Trippovention.
• Approved monetary refunds shall be processed only through Bank Transfer or Credit Card, depending on the original mode of payment and subject to approval. Cash refunds will not be entertained.
• Applicable service charges for services already rendered are non-refundable and shall be deducted from any approved refund.
• Approved refunds will normally be processed within 15 working days from the date of approval.

9. Amendment Policy

Any correction, amendment, or modification requested after completion of the visa application form shall attract additional service charges.

• Changes to travel dates, itinerary, accommodation, flights, or supporting documents after processing has commenced may incur additional service charges.
• Rescheduling or modifying a visa appointment, where permitted, shall be subject to appointment availability and applicable service charges.
• If an amendment requires submission of a fresh visa application, the applicable visa fees and Trippovention service charges shall be payable again.

10. Payment Policy & Official Bank Details

Trippovention operates on a 100% advance payment basis. No credit facility is available.

Accepted Payment Methods: Bank Transfer, Cheque, Demand Draft, UPI, Cash (as per applicable Government regulations), Debit/Credit Card.

11. Client Declaration

The client declares that all information, documents, and supporting evidence submitted to Trippovention are true, accurate, complete, and genuine. Submission of false, misleading, forged, or incomplete documents may result in visa refusal, cancellation, legal action, or any other action by the concerned authorities.

12. Appointment Availability

Visa appointment slots are controlled entirely by the respective Embassy, Consulate, or Visa Application Centre. Trippovention cannot guarantee appointment availability, preferred dates, expedited appointments, or priority processing.

13. Force Majeure

Trippovention shall not be liable for any delay, interruption, cancellation, or failure in providing services due to circumstances beyond its reasonable control, including but not limited to natural disasters, floods, earthquakes, pandemics, government restrictions, embassy closures, or technical failures.

14. Privacy & Data Protection

The client authorizes Trippovention to collect, process, store, and share personal information and supporting documents solely for the purpose of providing visa-related services. Information will not be sold or disclosed for marketing purposes without consent.

15. Limitation of Liability

Trippovention acts solely as a visa facilitation and consultancy service provider. Under no circumstances shall Trippovention be liable for indirect, incidental, or consequential damages, including loss of flights, hotel bookings, or travel expenses. Trippovention's maximum liability, if any, shall be limited to the amount of service charges actually paid by the client.

16. Governing Law & Jurisdiction

These Terms & Conditions shall be governed by and construed in accordance with the laws of India. Any dispute or claim arising shall be subject to the exclusive jurisdiction of the competent courts at Gurugram, Haryana, India.

17. General Disclaimer

By availing any visa-related services from Trippovention, the client acknowledges that they have read, understood, and agreed to these Terms & Conditions.
