Primary Travel Documents
- Completed Visa Application Form: Fully filled and signed by the applicant.
- Personal Covering Letter: Original letter with detailed travel plan and itinerary. If the applicant is submitting applications of his/her family or delegation, all applications must include a copy of the covering letter.
- Flight Reservation: Confirmed round-trip flight booking with passenger details and intra-Schengen transit proof.
- Proof of Accommodation: Confirmed hotel bookings or corporate accommodation arrangements covering the entire stay across Hungary and other Schengen states.
- Travel Insurance: Minimum coverage of 30,000 Euro / 50,000 USD / 50,000 CHF per person. Must cover repatriation for medical reasons, urgent medical attention, and emergency hospital treatment across the entire Schengen territory.
- Valid National Passport: Issued within the last 10 years and with at least 6 months validity after the scheduled return, with at least two blank pages. Handwritten passports and passports with observations regarding the bio-data front page cannot be accepted.
- Photocopy of Passport: Clear photocopy of the passport (Front & Back pages).
- Passport Size Pictures: Recent passport-size color photographs with white background (not older than 3 months), showing head and shoulders with face covering 70–80% of the image (size 35–40 mm width, not copied or scanned). Soft copy is required.
- Previous Passports & Visas: If any, bound together with a rubber band (not stapled), plus photocopies of previous UK, USA, and Schengen visa stickers.
Invitee Documents (Host Organization in Hungary)
- Invitation Letter: Official business invitation letter on the Hungarian company's letterhead, clearly stating meeting purpose, agenda, dates, and financial responsibilities.
- Company Registration Proof: Registration proof of the invitee company in Hungary.
- Invitee Authorized Signatory ID: Passport copy (Front & Back) or legal residence status proof of the authorized person signing the invitation letter.
- Invitee Bank Statement: Bank statement of the invitee company for the last 6 months (if available / applicable).
- Invitee Tax Documents: Tax documents of the host company for the last 3 years (if applicable).
Proof of Financial Status (Strictly Original A4 Paper Format)
All financial documents must carry official bank stamp & signature on A4 size paper.
- Personal Bank Statement: Original personal bank statement for the last 6 months with official bank stamp & signature on format A4 paper.
- Personal ITR: Personal Income Tax Returns (ITR-V) or tax documents for the last 3 years.
A. For Employed Delegates:
- Company NOC: Original No Objection Certificate (NOC) from the employer on official company letterhead.
- Recognition Letter: Formal recognition/deputation letter from the company confirming business travel purpose.
- Salary Slips: Official salary slips for the last 6 months.
B. For Self-Employed / Business Owners:
- Covering Letter: Covering letter printed on official company letterhead with company stamp & signature.
- Business Card: Applicant's original visiting/business card.
- Company Bank Statement: Company bank statement for the last 6 months with official bank stamp & signature.
- Business Registration Proof: GST Certificate, Certificate of Incorporation (COI), or Partnership deed.
C. If Trip is Company Sponsored:
- Sponsorship Letter: Formal corporate sponsorship letter on company letterhead confirming full financial coverage.
- Company Bank Statement: Updated company bank statements for the last 6 months (if available).
- Company Tax Documents: Company Income Tax Returns / audited financials for the last 3 years.
