Primary Documents
- Completed Visa Application Form: Completely filled and signed by the applicant.
- Personal Covering Letter: Original letter detailing business purpose and travel plan. If the applicant is submitting applications for colleagues or family, all applications must include a copy of the covering letter.
- Flight Reservation: Confirmed round-trip flight booking with passenger names and intra-Schengen travel itinerary.
- Proof of Accommodation: Confirmed hotel booking or accommodation voucher covering the entire stay in Austria and the Schengen territory.
- Travel Insurance: Minimum coverage of 30,000 Euro / 50,000 USD / 50,000 CHF per person. Coverage of all expenses which might arise in connection with repatriation for medical reasons, urgent medical attention, and/or emergency hospital treatment across the entire Schengen territory.
- Valid National Passport: Issued within the last 10 years, with at least 6 months validity after scheduled return date, and at least two blank pages. Handwritten passports and passports with observations on the front bio page cannot be accepted.
- Photocopy of Passport: Clear photocopy of the passport bio pages (front & back).
- Passport Size Pictures: Recent passport-size color photograph with white background not older than 3 months, showing head and shoulders with face covering 70–80% of the image (size 35–40 mm in width, not copied or scanned). Soft copy is required.
- Previous Passport/s: If any, bound together with rubber band (not stapled), along with photocopies of previous UK, USA, and Schengen visa copies.
Financial Documents
- Personal Bank Statement: Original personal bank statement of the last 6 months with official bank stamp and signature (strictly original format A4 paper).
- Income Tax Returns: Personal ITR or tax documents for the last 3 years.

- Covering letter printed on official company letterhead.
- Business / Visiting card.
- Company bank statement of the last 6 months with stamp & signature from bank (format A4).
- Business Registration Proof (GST certificate, Certificate of Incorporation, or Partnership deed).
For Employed:
- NOC from the employer on official company letterhead.
- Recognition letter from the employer detailing business assignment.
- Salary slips for the last 6 months.
If Sponsored by Company:
- Sponsorship letter from the sponsoring company on official letterhead.
- Updated company bank statement of the last 6 months (if available).
- Tax documents / ITR of the last 3 years of the sponsoring company.
Invitee Documents (Austrian Host Company)
- Company Registration Proof: Official registration proof of the host company in Austria.
- Invitation Letter: Formal business invitation letter on the Austrian company’s official letterhead stating purpose, dates, and meeting agenda.
- Passport Copy / Status Proof: Passport copy of the authorized signatory from the invitee company (front and back) or Austrian residence permit proof.
- Bank Statement: Bank statement of the host company for the last 6 months (if available / sponsored).
- Tax Documents: Tax documents / financial filings of the last 3 years of the host company.
